__NOTOC__
Connecting and Finding the Device
To back up to an external hard drive or flash drive, first connect the drive to your computer. Most of these devices use USB connectors, although some of the newer ones have eSATA. After connecting the drive and letting windows mount the device, you can find it under "My Computer". It will be listed as a removable disc with some associated drive letter. Some drives will be named by the brand of the drive such as WD for Western Digital or CruiserMini for a flash drive brand. Double-click the drive icon to open a window that lists the contents of the drive. It is not uncommon for some vendor files and folders to be preloaded (e.g., instructions, optional software).

Preparing Your Workspace
Once you have your drive window open, open up another window to display the laptop files and/or folders you wish to copy. Usually you can find this under My Computer > Data (D:) > Data. Now organize the windows so you can see both at the same time. You can do this manually by resizing and moving the windows or you can right click on the task bar at the bottom of the screen and selecting One way to do this is have one window open, and then Ctrl+Click on the other windows icon on the taskbar. After that, right click and selecting "Show windows side by side."

Formatting Your External Hard Drive For Mac and PC
If there's plans for using your external drive on both Mac and a PC, formatting will be necessary. Follow the steps to format your hard drive for both Mac and PC. If you have previous data backed up on your hard drive, you will want to back it up onto your PC before proceeding.

1. Ensure that your external hard drive is connected to your computer.

2. Press the Windows key or open your Start Menu.

3. Type "computer management" in Search programs and files and open Computer Management.

4. Select Disk Management on the left sidebar.

5. Look for the name of your external hard drive, right click on it and choose Format.

6. Change your File system to FAT32 or ExFat.

*If your file system already appears to be FAT32 or ExFat, you shouldn't have to worry about formatting your hard drive.
**ExFat is recommended, but either will work on both Mac and PC.

7. Leave Allocated unit size as Default.

8. Uncheck Perform a quick format if it is checked.
*This is to ensure that your hard drive is reviewed by Windows and functional. You can leave it checked if you want to, but do so at your own risk!

9. Press OK.

10. When the "Formatting this volume will erase all data on it. Back up any data you want to to keep before formatting. Do you want to continue?" message pops up, click yes.
*Again, if you have previous data existing on your drive, you will need to back it up on your PC before continuing.

11. Wait until the process is complete. When finished, your hard drive's file system should show up as ExFat (or FAT32) in Disk Management or under properties.

Connecting and Finding the device
To back up to an external hard drive or flash drive first connect the drive to your computer, using your USB. After connecting the drive and letting it mount the device will appear on your desk top as an icon.

Like this. (But not necessarily named "windows".... usually named for the brand of the external drive)

You can also find it in the Finder. It may or may not be named. In a Mac you can view and use devices that have been formatted either for a PC or a Mac.

::WARNING! If you are prompted by your Mac to use Time Machine, do not use it. Click on "cancel."

See Time Machine (Mac) for more information.

Preparing your Workspace & Finding Your Files for Backup
In the Mac operating system, folders have already been created for simpler organization.

Open a Finder Window to show the contents that you want to back up. On your WSU Mac you will find all your important files in your Home Directory. The Finder Icon looks like a little house and is named with your User Logon ID. Inside your Home Directory are the following folders:
*Documents-all of your files are likely there
*Downloads
*Pictures-all your pictures should be there
*Music-all your music (iTunes and more) should be there
*Sites-any web sites you created will be there
*Desktop-anything on your desktop is there
*Library
*Applications
*Public

The files you will want to backup will be inside of the folders shown in BOLD. You will not need to backup anything else.
::NOTE: You can position the two Finder Windows to be side by side for dragging, but only one Finder Window can be active or in-front at a time.

Use the procedures described below copying between your Mac and your External Drive or Flash Drive.

Backup Procedures for External & Flash Drives
#Select the file/folder you want to copy. You can select whole folders or single files.
#Drag the icon to your external device.
#Alternatively you can right-mouse click on the item and select "COPY"; then click on the window of your external device; right-mouse click and select "PASTE."

Need to format the External Hard Drive?
If you cannot drop files onto your external hard drive it may be because it needs to be formatted. If you are sure that this is the case and you need to format your external hard drive you need to follow these instructions:

BEFORE YOU DO THIS MAKE SURE ANY FILES ON THE EXTERNAL HARD DRIVE ARE BACKED UP - THIS WILL ERASE EVERYTHING ON IT.

* Plug in the external hard drive
* Go to the SPOTLIGHT
* Type in "disk utility"
* Click on your external hard drive
* Click on the erase tab
** Choose ExFAT or FAT32 format - title it whatever you want
* Click on erase
* Are you sure? Yes
* Your hard drive will now be formatted for use on both Mac and PC.

Tips and Tricks
There are some useful keyboard shortcuts during this process.
*Command+A = Selects all items
*Command+Left-Click = Selects items one by one in the window as you point and click on them.
About this article
This article provides an overview of Microsoft's OneDrive for Business (formerly known as SkyDrive Pro) cloud storage service provided to all WSU students and employees. It focuses on the features and functions that are identical for both groups and includes links to student-specific and employee-specific articles. It is intended for both employees and students.

What's OneDrive for Business?
Microsoft OneDrive for Business is a set of services you can use to store files online, share them with other people, and synchronize them with copies of the same files on your laptop, tablet, and smartphone. This allows you to access and edit your files from any device, even when you are not online. Your OneDrive for Business is connected to the WSU directory, making finding and collaborating with other members of the community easier.

OneDrive for Business @ Winona State University is available for all students, but previously some students may have used their own personal OneDrive. Both have these features in common:

*1 terabyte of online storage
*Storing, backing up, accessing, and sharing thousands of documents, photos, and Microsoft Office files
*Accessing files from anywhere online & viewing photos from most web-enabled mobile phones anywhere with Internet access
*Controlling who sees what with password protection
*Saving through a browser upload or automatic upload with desktop applications using Drag and Drop
*Sharing folders for group project uploading, downloading, and collaboration on documents and other files

There are more benefits to having OneDrive @ WSU that we'll go over in the next section.

Accessing your OneDrive for Business
There are several ways that you can access your OneDrive for Business.

What's the Difference Between OneDrive for Business (WSU) and a personal OneDrive?
The easiest way to compare OneDrive for Business to (just) OneDrive is that the Office 365 OneDrive for Business offers more features and is mainly used for professional organizations, whereas regular OneDrive is mainly for personal use and has less features.

OneDrive for Business

*For enterprises and organizations
*Business or school use
*Better security features
*More customizable
*Built from SharePoint

OneDrive (Personal)
*For consumers with a general Microsoft account (anyone)
*Personal use
*Less security features
*Its own interface in Outlook.com
Why Use OneDrive Web Apps?
When creating a file within OneDrive, you will use a OneDrive Web App. We'll use the Word Web App in this example. Here is a picture.

As you can see, it doesn't really look much different from the Word that's already downloaded on your computer. These web apps will not have as many features for more powerful customization and fine-tuning that desktop applications will have, but they are nice for simple fixing or adding content. So why use it in your browser? Here's why:

*For quick edits

*For working on group collaboration projects

*Documents automatically save so multiple users can work on the same document at once. You can enable marking to see your group members changes also.

*For convenience with mobile devices

*Many mobile devices will not have full fledged Office apps installed, so the browser web apps are very handy for this instance.
The easiest way to compare OneDrive for Business to (just) OneDrive is that the Office 365 OneDrive for Business offers more features and is mainly used for professional organizations, whereas regular OneDrive is mainly for personal use and has less features.

This article provides an overview of Microsoft's OneDrive for Business (formerly known as SkyDrive Pro) cloud storage service provided to all WSU students and employees. It focuses on the features and functions that are identical for both groups and includes links to student-specific and employee-specific articles. ==What's OneDrive for Business?==

OneDrive for Business for Windows

*Scroll down to your section (probably English)
*Download the x86 installer
*Run the installer
*When the process is finished, you should be able to find OneDrive for Business in your programs!

Setting Up Your OneDrive for Business App For Computer Syncing (Windows)
Once you've finished installing the OneDrive for Business application onto your computer, log into your Office 365 Account in your browser and go to your OneDrive. Select Sync as shown in the picture, then Sync Now.

Your OneDrive for Business application should open and you will be able to select the folder location you want to sync to. Select Sync Now when you're finished. You're set up! Now whenever you save or put files into that folder onto your computer (while the OneDrive application is open), your files will automatically be uploaded to the OneDrive for Business folders in your browser!

Pros and Cons of Syncing
Pros
*Documents online are readily available on your personal laptop
*OneDrive files are accessible when offline
Cons
*For individuals with the HP 840 or the Macbook Air, the hard drive space is limited to approximately 100 gigabytes, so syncing OneDrive to the laptop will reduce storage space. That is why we recommend keeping all files on OneDrive that you are not currently working on.
This article provides an overview of Microsoft's OneDrive for Business (formerly known as SkyDrive Pro) cloud storage service provided to all WSU students and employees. ==What's OneDrive for Business?==

How to Manage Your Files with OneDrive (Office 365)
Uploading and creating documents is very easy with OneDrive (Office 365). Here is the simplest ways to start.

Getting to Your OneDrive (Office 365)
When you first log into your Office 365 Webmail, you'll see a list of new options at the top. Click OneDrive from those options.

Your new interface should look something like this.

This is the interface which allows you to manage your OneDrive (Office 365) documents. On the left there is options for My Documents, Followed Documents, and Shared With Me.

*My Documents is your own personal documents that you have saved.
*Followed Documents are documents that you are "following" or keeping track of and watching. These are typically someone else's documents such as a classmate, group member, or professor.
*Shared With Me are documents that are shared with you by a fellow user privately. This may also be a classmate, group member, or professor.

Find a file is also a search option for searching through your documents (if you have a lot of them).

Creating and Uploading Documents
If you check the top menu there is a File tab.

The buttons show Upload Document, Create Folder, New Document and more.

These buttons will allow you to perform actions related to your files.

You can also click on New Document to have options to create new Folders, Word, PowerPoint, Excel, or OneNote files.

You can also drag your files from your computer's desktop on top of your OneDrive interface to upload them easily.

Accessing your OneDrive for Business
There are several ways that you can access your OneDrive for Business.
Using your web browser
You can access OneDrive for Business using a web browser on any computer, tablet, or smartphone connected to the Internet. Go to http://sky.winona.edu - click on "OneDrive for Business" under Students. The only current exception is that you cannot access it using the latest version of Google Chrome on a WSU PC while connected to the campus network. If you have a WSU PC, use Internet Explorer or Firefox to access your OneDrive for Business while on campus. From off campus, Chrome works fine.

AAndersonWalk10
