There are several ways to send incoming Zoom Phone calls to voicemail, temporarily and permanently (e.g., during class meetings) and send incoming calls to voicemail directly.

Methods for routing incoming calls to voicemail

Quit the Zoom client

If the Zoom client is not running on your device, all incoming calls will be routed to your voicemail directly. Make sure you quit the Zoom application. If you just close the client window, it will continue to run in the background. Open the client application again when you are ready to accept incoming calls.

Set your Zoom status to Do Not Disturb

If you change your status in the Zoom client from Available to Do Not Disturb, incoming calls will be routed to voicemail directly. Do Not Disturb allows you to specify a timeframe.

  1. In the Zoom client application, select your avatar icon in the upper right corner of the window.
  2. Select Do Not Disturb from the menu.
  3. Select the status timeframe.
  4. Set your status back to Available manually as needed.

Forward incoming calls to voicemail

Forwarding your incoming calls to voicemail accomplishes the same goal as setting your Zoom client status to Do Not Disturb, Away, or Out of Office, but others will still see your Zoom status as Available.

  1. In the Zoom client application, select your avatar icon in the upper right corner of the window.
  2. Select Forward Calls from the menu.
  3. Select the Voicemail/Videomail option in the Set Up Call Forwarding window.
  4. Select a greeting message or use the default.
  5. Select a forwarding duration and select Save.
  6. Disable call forwarding manually by reopening the Set Up Call Forwarding window and selecting Turn Off.

Configure business and closed hours

To block off recurring times during each weekday that you will route calls to voicemail directly, configure your Zoom Phone Business and Closed hours your global settings accordingly.

Add holidays

To route all incoming calls to voicemail on specific days of the year, you can add them as holidays in your Zoom Phone global settings. You have to do this one holiday at a time.

  1. Sign in to your Minnesota State Zoom Pro host account portal at https://minnstate.zoom.us using your StarID username and password.
  2. Select the Phone tab on the left vertical navigation list and Settings from the horizontal navigation list at the top of the window.
  3. Scroll down to the Call Handling settings and select Manage to the right of Holiday Hours.
  4. Select the Add button.
  5. Enter a name for the holiday and then configure a timeframe.
  6. Select Save.
  7. Under Call Handling, configure the settings as needed.
  8. Return to this window to change the settings or delete the holiday.
