The Laserjet Enterprise 500 Multi-Function Printer, or Laserjet Enterprise 500 MFP, is capable of a wide variety of functions, some of which are listed below.

Note: Fax capabilities are not available on these WSU printers.

Make Multiple Copies

  1. Position the original document either in the document feeder or on the top left corner of the glass of the scanner.
  2. To customize settings, touch Copy and then touch the individual options. Touch More Options to set other options.
  3. In the upper right corner of the screen choose the number of copies you would like to make.
  4. Touch Start
  5. To return to the home screen, touch the home button in the upper left corner of the screen.

Copy on Both Sides

Copy on Both Sides Automatically

  1. Load the original documents into the document feeder with the first page facing up, and with the top of the page leading.
  2. Adjust the paper guides to fit the size of the document.
  3. From the Home screen on the printer control panel, touch the Copy button.
  4. Touch the Sides button.
  5. To make a two-sided copy from a one-sided original, touch the 1-sided original, 2-sided output button. To make a two-sided copy from a two-sided original, touch the 2-sided original, 2-sided output button. To make a one-sided copy from a two-sided original, touch the 2-sided original, 1-sided output button. Touch the OK button.
  6. Touch the Start button.

Copy on both sides manually

  1. Lift the scanner lid.
  2. Place the document face-down on the scanner glass with the upper-left corner of the page in the upper-left corner of the glass.
  3. Gently close the scanner lid.
  4. From the Home screen on the product control panel, touch the Copy button.
  5. Touch the Sides button.
  6. To make a two-sided copy from a one-sided original, touch the 1-sided original, 2-sided output button. To make a two-sided copy from a two-sided original, touch the 2-sided original, 2-sided output button. To make a one-sided copy from a two-sided original, touch the 2-sided original, 1-sided output button. Touch the OK button.
  7. Touch the Start button.
  8. The printer will prompt you to load the next original document. Place it on the glass, and then touch the ‘’’Scan’’’ button.
  9. The printer temporarily saves the scanned images. Touch the Finish button to finish printing the copies.

Scan and Send By Email

The Laserjet Enterprise 500 MFP can send scanned documents directly to your email. Note: that the printer can only send scanned documents to an @winona.edu email address. It is best to scan and send the document to yourself and then email it to those who need it from within Outlook or Outlook Web Access.

  1. Place the original document face-up in the document feeder, or face-down on the upper left corner of the glass of the scanner.
  2. Touch E-mail.
  3. Touch the From: text box to open the keyboard. Type your email address. If you are signed in to the printer you may be unable to change this field.
  4. Touch the To: text box to open the keyboard. Type the email address.
  5. Touch the Subject: text box to open the keyboard. Type the text. Touch ‘’’More Options’’’ to set other options.
  6. Touch Start.
  7. To return to the Home Screen, touch the Home button in the upper left corner of the screen.

Scan and Save to a Network Folder

  1. Place the document face-down on the scanner glass, or place it face-up in the document feeder and adjust the paper guides to fit the size of the document.
  2. From the Home screen on the product control panel, touch the Save to Network Folder button. Note: If prompted, type your user name and password.
  3. To use one of the preset job settings, select on of the items in the Quick Sets list.
  4. To set up a new job, type the name for the file in the File Name: text field, and type the path to the network folder in the Folder Path field. Use this format for the path: \\path\path
  5. To configure settings for the document, touch the More Options button.
  6. Touch the Start button to save the file. Note: You can preview the image at any time by touching the Preview button in the upper-right corner of the screen. For more information about this feature, touch the Help button on the preview screen.

Use USB Printing

To the left of the main screen on the side of the control panel is a USB port. It may be covered by a small square piece of plastic that will easily slide out of the USB port. If the piece of plastic does not remove easily do not try to force it. This USB slot can be used to load documents to print directly.

The following type of files are compatible with the printer: .pdf .prn .pcl .ps .cht

To Print from USB

  1. Insert the USB flash drive into the USB port on the left side of the product control panel. Note: You might need to remove the cover from the USB port.
  2. The Retrieve from USB screen opens. Select a folder from the list on the left side of the screen.
  3. Select the name of the document that you want to print.
  4. To adjust the number of copies, touch the Copies field, and then use the keypad to select the number of copies.
  5. Touch the Start button to print the document.

Installing the Printer

On a PC go to Printing/Setup Printers on a PC to install and automatically download the driver for the printer.

On a Mac go to Printing/Setup Printers on a Mac to install and automatically download the driver for the printer.

Supplies

Check the status of supplies and reset supplies.

  1. Touch the Supplies button.
  2. Touch the name of any supply to see the current level.
  3. To view a suppoly part number or the location of a supply, touch any supply line and then touch Details.
  4. To return to the Home screen, touch the Home button in the upper left corner of the screen.

Job Status

Check on active and completed jobs.

  1. To view all current jobs, touch Job Status. The active tab displays all current Jobs/Users/Status Information.
  2. To view a specific job, touch the job name and touch Details.
  3. To cancel a specific job, touch the job name and touch Cancel Job.
  4. To view completed jobs, touch the Job Log tab.
  5. To view a specific completed job, touch the job name and touch Details.
  6. For a copy of the Job Log, touch Print Log.
  7. To return to the Home screen, touch the Home button in the upper left corner of the screen.

General Maintenance

Adding Paper

If the printer runs out of paper you will be prompted to refill the paper tray.

  1. The printer tray is located at the bottom of the printer and will be labeled with a number. Gently slide it out by pulling on it.
  2. Add paper to the tray, being sure to fit the paper into the guides so the printer will not jam.
  3. Slide the tray closed and check to see if the control panel has any further instructions on it.

Replacing Toner Cartridges

If the toner cartridge runs out you will be prompted to replace the toner cartridge.

Note: If toner gets on clothing, wipe it off by using a dry cloth and wash the clothes in cold water. Hot water sets toner into fabric.

  1. Press the front door release button.
  2. Open the front door.
  3. Remove the used toner cartridge from the printer.
  4. Remove the new toner cartridge from the bag. Place the used toner cartridge in the bag for recycling.
  5. Grasp the front and back of the toner cartridge, and distribute the toner by gently rocking the toner cartridge five or six times. CAUTION: Do not touch the shutter or the surface of the roller.
  6. Remove the shipping tape from the new toner cartridge. Recycle the tape with the used toner cartridge.
  7. Align the toner cartridge with the tracks inside the product, and insert the toner cartridge until it is firmly seated.
  8. Close the front cover. After a short time, the control panel should display the Ready message.

Removing Jammed Paper

Sometimes paper will become jammed in the printer and it will be unable to proceed with a printing job. When this happens the control panel will help lead you through the process of finding the location of the jam and unjamming the printer.

Note: Internal areas of the printer that might need to be opened to clear jams have green handles or green labels.

Clear Jams in the Document Feeder

  1. Lift the latch to release the document-feeder cover.
  2. Open the document-feeder cover.
  3. Lift the jam-access door, and remove any jammed paper. If necessary, rotate the green wheel at the front of the document feeder to remove jammed paper.
  4. Close the document feeder. Close the document-feeder cover.

Clear Jams in the Output-Bin Area

  1. If paper is visible from the output bin, grasp the leading edge and remove it.

Clear Jams in Tray 1

  1. If most of the sheet of paper is visible in the tray, slowly pull the jammed paper out of the printer. If most of the sheet of paper has been pulled inside the printer, continue with the following steps.
  2. Press the front-door-release button.
  3. Open the front door.
  4. Remove the toner cartridge.
  5. Lift the jam-access covers and remove any jammed paper.
  6. Reinsert the toner cartridge.
  7. Close the front door.

Clear Jams in Tray 2 or an Optional 500-Sheet Tray

  1. Remove the tray from the printer.
  2. Remove the paper from the tray, and discard any damaged paper.
  3. Verify that the rear paper guide is adjusted to the indentation for the correct paper size. If necessary, pinch the release and move the rear paper guide to the correct position. It should click into place.
  4. Load the paper into the tray. Make sure that the stack is flat at all four corners and that the top of the stack is below the maximum-height indicators.
  5. Reinsert and close Tray 2.
  6. Press the front-door-release button.
  7. Open the front door.
  8. Remove the toner cartridge.
  9. Lift the jam-access covers and remove any jammed paper.
  10. Reinsert the toner cartridge.
  11. Close the front door.

Clear Jams in the Toner-Cartridge Area

  1. Press the front-door-release button.
  2. Open the front door.
  3. Remove the toner cartridge.
  4. Lift the jam-access covers and remove any jammed paper.
  5. Reinsert the toner cartridge.
  6. Close the front door.

Clear Jams in the Rear-Door and the Fuser Area

  1. Open the rear door, and push down so it is fully opened to a 90° angle. CAUTION: The fuser can be hot while the product is in use. Wait for the fuser to cool before clearing jams. NOTE: The rear door has two positions. It opens to a 45° angle for the rear output bin and to a 90° angle for clearing jams.
  2. Remove any jammed paper.
  3. Press the front-door-release button.
  4. Open the front door.
  5. Remove the toner cartridge.
  6. Lift the jam-access covers and remove any jammed paper.
  7. Reinsert the toner cartridge.
  8. Close the front door.
  9. Close the rear door.

Clear Jams in the Duplexer

  1. Completely remove Tray 2 from the printer.
  2. Push the green button to release the duplex pan.
  3. Remove any jammed paper.
  4. Close the duplex pan.
  5. Reinsert Tray 2.
  6. Open the rear door, and push down so it is fully opened to a 90° angle. NOTE: The rear door has two positions. It opens to a 45° angle for the rear output bin and to a 90° angle for clearing jams.
  7. Remove any jammed paper.
  8. Press the front-door-release button.
  9. Open the front door.
  10. Remove the toner cartridge.
  11. Lift the jam-access covers and remove any jammed paper.
  12. Reinsert the toner cartridge.
  13. Close the front door.
  14. Close the rear door.
