What is Workday?

Workday is a cloud-based Enterprise Resource Planning (ERP) tool offering unified finance, procurement, human resources, student, and staff lifecycle management. Its implementation at Minnesota State is one component of the NextGen Project. Workday enables standardization and streamlining of business processes system-wide, tailored to meet the unique present and future needs of Minnesota State.

Workday (Phase 1 - finance and HR) was implemented in July 2024 at Winona State University. Workday (Phase 2 - students) will be implemented in July 2026. Until this time, ISRS will remain in place for student registration, financial aid, student payroll, grades and transcripts, enrollment management, and term course forms.

How do I log in?

  1. Sign into your Microsoft 365 application using your StarID credentials.
  2. You will be prompted to use multi-factor authentication (MFA) using either your phone, office phone or the Microsoft Authenticator App.

Common Terminology / Icons

  • Business Process - a sequence of one or more tasks that accomplishes a business objective (for example, paying an invoice, hiring an employee)
  • Expense Report - accounting of out-of-pocket expenses (previously: employee reimbursement form)
  • Task - a business process step that must be completed
  • Period Activity Pay - bi-weekly pay
  • Position ID - SEMA4 ID
  • Spend Category - subclassification of ledger accounts (previously: object codes)
  • Worker - an employee
  • Workflow - defines who can perform each task and provides routing from one task to another
  • Worktag - labels assigned to transactions that indicate their business purpose

You can access Workday from any device with Workday Mobile. You can:

  • view pay slips
  • submit and track expense reports
  • request time off
  • enter time sheets
